1. Who we are

We are Covertec Structures Ltd, a company registered in England and Wales under number 04926308. Our registered office is The Lodge, Leicester Road, Lutterworth, England, LE17 4LU. In this policy, "we", "us" and "our" mean Covertec Structures Ltd. We are the data controller for the personal data described in this policy and this policy applies to our website at covertecstructures.co.uk.

2. What this policy covers

This policy explains what personal data we collect, how we use it, how long we keep it, who we share it with and the rights you have under the UK GDPR and the Data Protection Act 2018. Personal data means any information about you from which you can be identified, such as your name, contact details or online identifiers.

3. The personal data we collect

Most of the personal data we hold comes directly from you, when you:

  • request a quote, use our configurator or place an order through our website;
  • contact us by phone, email, WhatsApp, social media or our contact forms;
  • ask us to send you information about our products; or
  • give us feedback or leave a review.

Depending on how you deal with us, this can include your name, address, email address, phone number, the measurements and details of the product you order, and records of payments to and from you. Card payments are processed by our payment provider, Stripe. Your full card details go directly to Stripe and are never seen or stored by us.

As you use our website we also collect some technical data automatically, such as your IP address, browser type and how you move through the site. We collect this using cookies and similar technologies, described in section 6.

We do not collect any special category or sensitive personal data, and we do not knowingly collect data about children. If you believe we hold data about a child, please contact us using the details in section 12 and we will remove it without delay.

4. How we use your data

The law requires us to have a lawful basis for everything we do with your personal data. We use your data:

  • to prepare quotes, take orders, make and deliver your products and take payment. Basis: performance of a contract with you;
  • to answer enquiries and manage our relationship with you, including asking for a review after your order. Basis: our legitimate interest in running and developing our business;
  • to keep our records accurate, protect our website and systems and prevent fraud. Basis: our legitimate interests and our legal obligations;
  • to understand how our website is used so we can improve it and our products. Basis: our legitimate interests; and
  • to send you marketing about our products where you have agreed to it or where the law otherwise allows. Basis: consent or legitimate interest, as described in section 5.

We only use your data for the purpose it was collected for, unless we reasonably consider a new purpose compatible with the original one. We do not carry out automated decision making or profiling that has a legal or similarly significant effect on you.

5. Marketing

We may contact you by email, phone, text message or post with news and offers about our products. You can opt out at any time by using the unsubscribe link in any email, replying to a message, or contacting us using the details in section 12. We will never sell your data, and we will always get your express consent before sharing your data with any third party for their own marketing.

6. Cookies and analytics

Our website uses cookies and similar technologies. Some are strictly necessary for the site to work, for example remembering the contents of your order as you check out. Others help us understand and improve the site:

  • Google Analytics. Collects anonymised information about how visitors use our website, so we can see what works and improve it. Google's privacy policy is at policies.google.com/privacy.
  • Meta pixel. Helps us measure our advertising on Facebook and Instagram and show our ads to people more likely to be interested in our products. Meta's privacy policy is at facebook.com/privacy/policy.

You can block or delete cookies at any time through your browser settings. The website will still work if you do, though a small number of features, such as checkout, depend on strictly necessary cookies to function.

7. How long we keep your data

We keep your personal data only as long as we need it for the reason we collected it. Order and payment records are kept for as long as the law requires for tax and accounting purposes, and for the length of your product guarantee so we can honour any claim. Enquiry data that never becomes an order is kept for a shorter period and then deleted. You can ask us for more detail on retention using the contact details in section 12.

8. Who we share your data with

We share personal data only where it is needed to serve you or run our business:

  • Stripe, to process your payment;
  • couriers and delivery partners, to deliver your order;
  • the systems we use to manage enquiries, orders, invoicing and customer messages;
  • analytics and advertising providers, as described in section 6; and
  • professional advisers, or public authorities where we are legally required to do so.

Wherever we share data, we take reasonable steps to make sure it is handled safely, securely and in line with your rights and the law. If we ever sell, transfer or merge parts of our business, your data may transfer with it, and any new owner may only use it in the ways described in this policy.

9. Where your data is stored

Most of your personal data is stored in the UK. Some of our providers, including analytics, advertising and payment services, may store data outside the UK. Where that happens we only use countries with an adequacy decision, or approved contract terms that give your data the same protection it has in the UK.

10. How we protect your data

We limit access to your personal data to the people who genuinely need it, and everyone with access is subject to duties of confidentiality. We have procedures for dealing with any suspected data breach, and we will notify you and the Information Commissioner's Office where we are legally required to do so.

  • access the personal data we hold about you, known as a subject access request;
  • have inaccurate or incomplete data corrected;
  • ask us to delete your data;

  • data portability, which means receiving a copy of data you gave us in a reusable format; and
  • complain to the Information Commissioner's Office at ico.org.uk. We would welcome the chance to resolve any concern ourselves first, so please contact us before you do.
